Cancellation Policy
Withdrawal by a Seedlings Family
At times there are reasons for withdrawal. Seedlings Forest Education will always treat each situation with care and consideration.
Cancellation by Seedlings
While we do our best to ensure this doesn't happen, Seedlings Forest Education reserves the right to cancel programs at our sole discretion. If we as a company need to make any drastic changes to a program (such as location switch), we will provide 14 days ( two weeks) of written notice to all families registered.
Termination of Services
We reserve the right to terminate services for any reason, including:

- For spring and summer camps, a full refund will be given for cancellations with at least a month's notice
- For preschool and school-age programs, 60 days notice (the first to the first of the month) is required in writing for cancellations and withdrawals

- Non-compliance to policies or procedures
- Late or non-payment for service
- Failure to work with staff to meet your child's needs
- Inappropriate placement of your child
Payment and Fee Policy
Prices are subject to change without notice. All admin and registration fees that are paid per program are non-refundable.
Late Fees
A late fee of $20.00 for every 15 min (or any portion thereof) per child will apply if a child remains in care after the end of session unless prior arrangements have been made. This late fee is due and payable upon pickup.

Health and Safety Policy
To keep our children, families, educators, and community healthy and safe, we have instituted the following procedures. We will continue to follow VIHA guidelines and will update all families in the event we need to make changes to our policies and procedures.
Ratios
Our programs will maintain the smallest ratio possible in our outdoor environments to ensure the safety of children and educators.
Drop-Off and Pick-Up
Drop-off and pick-up will be done outside at all locations for all programs. Parents are asked to wait 2 meters away from other families (or in their vehicle) until it's their turn to sign in. You will sign in your child with the time and confirm that your child is in good health and symptom-free.
To minimize the impact of these new procedures, please plan for lengthier drop-off times than typical and make sure you have the educator's phone number to call if you are running early or late.
Parent/Guardian Responsibilities
Parents and guardians are responsible for monitoring their child’s health daily for symptoms of the common cold, influenza, COVID-19 or any other infectious virus and ensuring they do not attend the program if they have a cough, fever, or runny nose. There will be no exceptions to this health and safety policy. Do not bring your child to the program if they are ill.
We must respect all guidelines put in place for the health and safety of every child and their family. For camp programs, if children have any symptoms 24 hours prior to camp and are unable to attend for the week, you will be refunded or given a credit minus admin fees. If your child becomes ill during the day, you must be available to pick up your child as soon as possible.
What happens if a child becomes ill during the day?
If children experience any symptoms while attending the program, they will be separated from the group and parents/guardians will be expected to pick up their children immediately (this is mandatory).
Educator Responsibilities
Educators are not responsible for the screening of children’s health as they are not healthcare professionals. When you do drop off, parents will be asked to give the educator of their program a verbal confirmation that their child is symptom free. Educators are responsible for monitoring their own health. If an educator is ill, they must stay home and consult with a healthcare professional before returning to work. They will ensure children are frequently washing their hands and offer positive reminders to follow other personal hygiene practices like sneezing into their arm, avoiding touching their faces etc. Educators will not be required to wear a mask at the program; this is a personal choice.
Equipment
At Seedlings Forest Education one thing we strongly believe is less is more. Most of our programs do not use any man-made materials. We encourage children to play with materials found in the natural landscape, to create, build and form projects with. If or when we explore materials such as clay, the children will wash their hands prior to using it and it will not be shared amongst peers. Any other materials introduced will be sanitized frequently. This policy will stay in place for the immediate future.
Weather
In the event of extreme weather posing a safety risk or preventing travel to the program site, programs may be canceled without a refund.
